At Gallery, you’re here to build the business of your dreams, and we’re here to make sure the space around you supports that. These house rules help keep Gallery a professional, positive, and welcoming place for everyone.

MAINTAIN YOUR ENVIRONMENT 

 

KEEP IT SAFE

All clients must check in through the digital system before entering Gallery.

Visits are by appointment only, and you’re responsible for welcoming your client and accompanying them to and from the community areas.

Stay aware of your surroundings. If you spot anyone unfamiliar walking around unattended or acting suspiciously, let your fellow members and Team Gallery know straight away.

Important: Keys and keycards may not be shared or passed on without Gallery’s approval.

 

KEEP IT CLEAN

Let’s sparkle together! Our cleaners work hard every day to keep Gallery looking its best, and we appreciate everyone helping to maintain that throughout the day. Small things like wiping up hair, loading the dishwasher make a big difference for both your clients and the community.

Hallways, entrances, and all common areas must be kept clear at all times. These are fire escape routes. Don’t leave any bags, boxes, bikes, extension cords, fans or furniture in these spaces. Unattended items may be removed immediately, and any costs will be charged to you.

Good to know: Hoovers and mops are available for everyone to use. All common spaces are deep cleaned monthly.

 

LAUNDRY ROOM

Washing machines and dryers are available for everyone. Follow the posted guidelines, collect your laundry promptly to free up the machines for the next person, and return baskets to the racks. (Heads up: the top of the machines isn’t a storage shelf.)

VERY IMPORTANT: Always clean the dryer filters and remove dust or fluff before each use. This is a fire safety requirement and is not optional.

Accidentally picked up someone else’s towels? Please return them to the “Lost & Found Basket” and your neighbors will thank you for it.

 

MEET YOUR NEIGHBORS

Our Gallery Community is made of incredible business owners like yourself. We learn from, inspire, support and celebrate with each other.

SHARED KITCHEN

Our community kitchen is here for everyone to enjoy, with a microwave, fridge, and dishwasher available for daily use. Please be mindful of the limited fridge space and clean up after yourself so the area stays pleasant for all.

Is the dishwasher full? Please turn it on! Is it clean? Please empty it! When heating food, please think about strong smells because what’s delicious to you might linger for your neighbours. A little consideration goes a long way.

Good to know: The fridge is deep cleaned and emptied on the 1st of every month. Don’t forget to collect anything you’d wish to keep.

 

TREATMENT GUIDELINES & RESTRICTIONS

Whilst we welcome a wide range of beauty, health and wellness services at Gallery, we prioritise the health, safety and comfort of all members and their clients.

Treatments that produce significant fumes or smoke are not permitted at Gallery; this includes keratin, perm, and acrylic treatments. This is due to its potential of releasing harmful fumes and disturbing odors, impacting other salons and their clients negatively, but also seen as a risk triggering smoke detectors or sprinkler systems.

Not sure whether your treatment is allowed? Check with your Community Manager first before you offer it.

COMMUNITY RELATIONS

 

NOISE POLICY

To help maintain a peaceful environment, please keep hallway noise to a minimum and close your studio door during conversations or calls. This supports salon owners who need a quiet space for focused treatments or a relaxing atmosphere for their clients. For lively conversations, whether in person or on the phone, please use our community spaces or step outside.

 

MUSIC IN STUDIO

Background music is absolutely welcome to set the right mood, but keep the volume down so nobody gets disturbed.
Please note it’s not possible to connect your own Wi-Fi music system (such as Sonos) to the Gallery network, use Bluetooth or cabled connection instead.

 

PETS

We love animals; however not at Gallery! Many of our salon owners rely on their GGD licence to operate, and that means keeping the space pet-free. If a client needs to bring a service or assistance animal, contact your Community Manager at least 72 hours in advance.

 

CHILDREN & MINORS

While we love kids at home, Gallery is not a suitable playground and not safe for children.

If a client brings a minor, they MUST be supervised by an adult at all times. Ideally, clients visit your salon alone to fully enjoy a well-deserved spa moment with you without interruptions.

 

EVENTS & TRAININGS

To maintain a calm and professional environment, events, workshops, trainings, celebrations, or gatherings are not permitted in the studios or community spaces unless approved by Gallery.

Gallery regularly organises events and celebrations such as networking moments, treats and community get-togethers. Keep an eye out on the announcements so you don’t miss out.

Important: We host a mandatory Community Updates & Connect event which is one date in the calendar we ask everyone to protect. We share the date well in advance – so mark it, keep it clear and show up! Everyone is expected to attend.

YOUR SALON

 

DECORATING YOUR SPACE

We love seeing you make your studio your own! A few things to keep in mind:

  • Any noisy work (drilling, building etc.) must be done before 10:00 AM so it doesn’t disrupt your neighbours.
  • For anything structural (e.g. lighting, ventilation, plumbing, flooring, ceilings, or electrical etc.) always contact your Community Manager first. These cannot be changed without Gallery’s approval.
  • Don’t hang anything from the pipes. Only CE-certified devices may be used in standard sockets. Need high-ampere professional equipment? Reach out before plugging in.
  • If you have any light installations or decorative lighting in your studio, please make sure to switch everything off when you leave. If lights or machines are left on, our team may turn them off on your behalf.

Good to know: When your membership ends, your studio must be returned to its original condition via our Gallery Studio Maintenance Service (see your membership agreement).

 

STUDIO OCCUPANCY

Please make sure the maximum occupancy of your studio is never exceeded. Large groups are not allowed in the studios to keep the space comfortable and safe for everyone, and ensures a professional environment for your clients.

If you’re unsure what that means for your specific studio, check in with your Community Manager.

STUDIO WINDOW ADVERTISEMENT & SIGNAGE

Your first logo on the studio door is on us. Beyond that, no additional stickers, banners, signs, posters or flyers are allowed on glass or outward-facing areas. This keeps every salon equally visible and the overall look of Gallery consistent.

Note: Please also make sure no hangers are placed on studio doors or windows.

 

STUDIO LOOK & FEEL

Check out our Studio Look & Feel Guidelines for styling inspiration and dos and don’ts, and browse our Gallery Inspiration Board for ideas from your studios design. When in doubt, your Community Manager is happy to take a look before you start.

Please note: Scented candles are not permitted in studios or shared spaces. As lovely as they are, its a fire hazard.

 

CURTAINS & PRIVACY FOIL

Thinking about adding curtains or window frosting? We’d love to help you explore the options. Curtains and privacy solutions are only available in selected studios and are fully arranged by Gallery, so please don’t install anything yourself.

All costs are quoted in advance and covered by you as the Member Company. Contact your Community Manager to get started.

LASER TREATMENT GUIDELINES

Laser treatments are welcome at Gallery under the right conditions. Before you start, you’ll need approval from your Community Manager and arrangements for window foil and drop sill installation. The requirements include:

  • Privacy Compliance: your studio must be fully private (windows covered with Gallery-installed safety foil, doors fitted with a drop sill);
  • Professional Qualifications: Only trained and certified professionals may conduct laser treatments.
  • Equipment Safety: All laser equipment must meet industry safety standards.

Good to know: Installation costs for foil and drop sills may be invoiced to your business.

 

HIGH POWER TREATMENT DEVICES

Using heavy professional equipment in your studio, such as laser machines or similar high-power devices, will be subject to an additional electricity fee. If you’re unsure whether your equipment qualifies, check with your Community Manager before you start using it.

 

FACILITY REQUESTS

Need an extra spotlight? Want something moved or removed? We’re happy to look into options for you. Just reach out to your Community Manager with your request.

Please note that facility requests usually incur additional charges for the Member Company, which will always be communicated to you in advance and will be subject to an additional 20% facility service charge.

MEMBERSHIP ESSENTIALS

 

CHAMBER OF COMMERCE REGISTRATION (KVK)

Full-time members can register a visiting address at the Chamber of Commerce.

On a flex membership? Registration is unfortunately not possible. If you’d like to upgrade, talk to your Community Manager.

 

INVOICING & PAYMENTS

Everything’s in your Gallery app. Go to the menu to find your invoices and update your payment method (IBAN/bank account). Your monthly fee is due on the 1st of each month. Late payments incur a late payment fee. Payments can only be processed directly through the Gallery app!

GROWING YOUR TEAM

Exciting! Before any new team member (e.g. employee, intern, or occasional helper) starts at Gallery, you must first contact your Community Manager. We treat everyone the same regardless of their role: we need to meet them in person before they’re given access.

Giving access to non-registered individuals to our premises without prior confirmation is not permitted. This protects everyone in the community and is also required for insurance purposes.

Good to know: Adding a team member comes with an additional membership fee.

 

HIRING A CLEANER

Want to bring in your own cleaner? Great, we just need to meet them first. Please contact your Community Manager for more information. Your cleaner should wear identifiable clothing (a vest or name tag with your salon or cleaning company’s logo) and always come alone. Cleaning can take place during regular opening hours: 08:00–22:00.

Important: No one – including cleaners – may access the premises without Gallery’s prior written consent.

 

NEW PARENT POLICY

Becoming a parent is a life-changing event, if it’s for the first, second or fifth time. During these life-changing moments, Gallery wants to be there for you and support your business. Get in touch with your Community Manager for more information.

BUILDING OPERATIONS

 

OPENING HOURS & ACCESS

Gallery is open every day from 08:00 to 22:00, including local holidays. For safety, the front entrance closes earlier in the evening for new arrivals, but you can always exit and enter using your Gallery Card, Salto app, or Openr app (depending on your location).

There might be exceptional times when we need to close the location for maintenance to keep the building in top shape. Your Community Manager will always give you advance notice so you can plan your appointments.

Your studio is your private space and we fully respect it. That said, Gallery may occasionally need to enter in your absence when we notice urgent safety issues or potential hazards, for regularly scheduled window cleaning, or to leave a package. We’ll always notify you when this happens.

 

EMERGENCY SITUATIONS

Fire evacuation routes are posted throughout the building. First aid kits are available in all common kitchen areas. For urgent situations affecting your business such as large leakages, power outages, or serious disruptions, call our emergency line: +31 85 047 8883.

TIP: Save the emergency number in your phone.

IMPORTANT: For personal danger or fire, call 112 immediately!

Good to know: Forgetting your (studio) key at home is not considered an emergency. We can help on the next working day from 09:00 CET (Monday–Friday).

 

REPORTING ISSUES

Light not working? Washing machine giving up? Temperature in your studio feeling too warm or cold? Please report it via the ‘Report an issue’ option via the Gallery app. It’s the fastest and most reliable way for our team to pick it up and get it sorted as soon as possible.

Important: Always raise a ticket via the app. Without one, things can get missed and nobody wants that.

 

LOSS OR DAMAGE

Gallery is not responsible for loss or damage to your personal belongings or equipment. Please keep your valuables safe and report any breakages promptly so we can address them quickly.

In the event of any leakages or electrical issues in your studio, our facilities team will arrange the necessary repairs. Depending on the cause, costs may be passed on to the Member Company.

 

NO SMOKING POLICY

Smoking, vaping, and e-cigarettes are not permitted anywhere inside Gallery or directly outside the entrance. Please use the designated smoking areas outside the building and be mindful of no-smoking signs nearby.

 

GARBAGE DISPOSAL

General Waste: Please dispose of general waste in securely closed bags to keep bins tidy and prevent any unpleasant messes.

Paper Waste: Kindly fold all boxes before placing them in the garbage area to maximize space in the bins and reduce noise, ensuring a peaceful environment for everyone.

Community Bins: Community bins are intended for smaller trash only. Please place larger bags directly in the designated bins in the garbage area. For furniture or large items, reach out to the community team for assistance.

 

MAIL & PACKAGES

You can receive mail at your own risk in the mail and package delivery area. Please pick up timely. Occasionally, we might place packages inside your studio to keep the package room clear and organized.

 

PARKING

Parking in the city centre is limited and rarely free. Public transport and cycling are your recommended options; the tram and metro stop are just minutes away.

Good to know: Bikes, scooters, and other vehicles must be stored outside Gallery at all times.

 

FREIGHT ELEVATOR

The freight elevator is operated by your Community Manager only. Give at least 72 hours’ notice if you need it.
